Removing metadata

My company takes bids from other companies to provide services.  As part of this process analysts evaluate and rank the bid individually, then as a group.  Once the group decides on a score for the bid, the individual scores are discarded.  We are trying to transition to using Sharepoint and PDF's to save time and paper, but our concern is that the notes/comments left during the draft bid process will remain and be grounds for excessive protesting.

 

I have been tasked with finding out if it is possible to make these notes go away.  Here is a proposed process:

-Bid is received, watermarked draft and put into Sharepoint.

-Each analyst goes in and scores it while leaving sticky notes with their comments

-As a group they come to a consensus score and finalize the bid

 

So, I am trying to ensure that through e-discovery a comany placing that bid cannot go in and say "person A gave this score and person B gave this score.  I am protesting because person A's score wasnt used."

 

Sorry if this is so confusing, but I cannot go into much more detail than that about the process.
